Job Description

As a Project Coordinator at our company, your primary responsibility will involve providing comprehensive support for the design, planning, scheduling and installation processes of multiple projects related to our SmartONE Solution. These projects are deployed across various multi-dwelling buildings throughout North America, necessitating occasional travel outside the Greater Toronto Area (GTA).

Your role will entail managing the overall project delivery for our portfolio of communities, working closely with a team of Engineers who specialize in designing and coordinating bespoke solutions. Additionally, you will handle inventory management, equipment ordering and assist in organizing and coordinating site installations.


We offer hands-on training to prepare you for the planning and execution aspects of the role.

Key Responsibilities

  1. Customize SmartONE documentation for each project and communicate relevant information to clients.
  2. Understand project requirements and contribute to the SmartONE system design by creating markup drawings.
  3. Review construction drawings for issues or deviations related to the SmartONE system.
  4. Conduct site visits as needed and compile construction progress reports.
  5. Coordinate installation requirements with on-site trades when necessary.
  6. Perform administrative tasks such as filling forms, preparing shipments and handling ad-hoc responsibilities.
  7. Assist in the preparation of project documents, Bill of Quantities and testing & commissioning reports.
  8. Support Lead Engineers in scheduling and executing multiple projects, including deploying SmartONE technology displays in our clients’ sales centers.
  9. Utilize our in-house project management tool to establish baseline schedules in collaboration with the project team.
  10. Attend project meetings virtually or in person as required.
  11. Maintain regular communication with Project Managers and site installation teams to ensure smooth execution and deployment of solutions.
  12. Address client queries promptly and professionally.
  13. Identify and propose process improvements.
  14. Assist in forecasting and scheduling incoming and outgoing project inventory.
  15. Coordinate schedules with clients as needed.
  16. Participate in lessons learned sessions to address any concerns and recommend corrective actions.
  17. Collaborate with internal teams for education, communication and continuous improvement across all SmartONE teams.


To excel in this role, you should possess the following qualifications and skills:

  • Ability to manage multiple priorities and deadlines effectively.
  • Strong presentation skills both in virtual and in-person settings.
  • Excellent verbal and written communication abilities.
  • Experience working independently as well as in a team environment.
  • Proficiency in MS Office applications.
  • Experience in construction scheduling for multi-dwelling buildings is advantageous.
  • Organized, positive attitude with a keen interest in technology and its impact on the future.
  • The role requires regular in-office presence.

Preferred Qualifications

  • Post-secondary technical degree/diploma/certificate in a related field or equivalent experience.
  • Technical background in structured cabling and networking technologies is beneficial.
  • PMP (Project Management Professional) designation is a plus.
  • Experience documenting project tasks, procedures and scheduling is an advantage.
